Great Council Minutes May AS LIV (2024) 7:30 PM

Coronets Nobildonna Fiore Leonetta Bardi and Lord Frithuric Ulman:

Frithuric: We’ve been a little disconnected as we were moving and dealing with some family stuff. Otters coming up in two weeks, Baronial champions two after that, and we’ll be around. Congrats to those who have gotten awards recently, and we’re looking forwards to Otters.

Fiore: Thank you for your support during the move.

Officers:

Seneschal Lady Aaradyn Gyoot

Welcome to May.

Baronial confirmation results will be read at the end of council. If they pass the vote, they will be submitted to their majesties and kingdom seneschal.

As mentioned when we switched back to online only we are discussing returning to hybrid meetings.

So far feedback has been that virtual eliminates with problems at the library connection, and it’s more accessible.

Pandaulf: The hybrid experience is poor for those remote.

Astrid: My medical conditions make me appreciate the virtual or hybrid model, as it allows me access even on days when I cannot participate physically.

Cathain’s suggesting of a monthly gathering could substitute for the social aspect of the in person meeting.

Justin: Hybrid is hard to do well. We have done better than many, but it’s never managed to be more than good. So, practically, virtual tends to work better.

Gavin: Short business meetings make travel impractical.

Aardyn: Possibly reinstate the ice cream socials.

Eadgyth: I was for a long time an active member of NESFA. And NESFA went to a busines meeting/other meeting format. Committees might meet during the “other” meetings, but it wasn’t the focus.

Eeowyn: I’m sufficiently old fashioned that I prefer doing things in person when possible. I recognize going to council meetings may be inconvenient for some people. Having a separate social meeting may provide the benefits of synergy without inconveniencing those people.

Aardyn: Lets vote:

The vote favors leaving the business meeting virtual. I encourage their excellencies to work with other members of the barony to have in person meetings.

Chancellor of the Exchequer Kara Irini bin Todori

I was asked by kingdom exchequer to get a kingdom person on the bank account. At the same time, we will be updating the signers to clear older non-signers.
For the first time since I’ve been exchequer, we have three guild requests for reimbursement. Each overspent slightly, so we need to approve.

The company of Bowman is active again, and spent 59.52 for fabric for baldrics. 9.52 approved.

The archery officer bought 100 new targets which cost 79.69. They would appreciate being reimbursed for the extra. Approved.
Frithuric: It would be better if officers got their expenses approved before purchased.

Cathain (chat)

Aardyn: In the past it has been approved in advance, but this was a case where the cost of supplies was higher than expected.

Peter: In the past we have eaten a lot more than this, but had to submit the entire ammount to get the $50.

Irini: Possibly ask for contributions?

Pandaulf: Just to confirm the $50 is not indexed to inflation, and it has not been increased in at least 12 years.

Aardyn: Correct.

The foresters guild spent $59.99 for a first aid kit. We can approve $50 or all. Approved.
Q1 is done. We did spend the entire storage up front, which leaves us at about $21,000 for the year.

Arlyana: Ysane la fileresse will be the kingdom Representative.

Events:

Otters Welcome, May 18: Astrid
We have spent $42 on Facebook advertising. We have reached 5000 people, 95 people have clicked the link, 40 have been in the past 7 days. We have continued to communicate with staff, and the site manager. We have started the process of pulling baronial gear from storage. If there are background checked people who would like to help with family point, please get in touch. Unfortunately neither baronial Chancelor Minor will be able to attend, so we do need volunteers.

Stephanie: I can provide boxes of jewlery making and puppets and can get them to you. Please text me.

Justin: Otters is a very newcomer centric event. As such, the chatelaine could use help. The ambassador program “Chatelaine for an Hour” has been a great help in the past, and we could use at least a half dozen more volunteers. Please contact Justin.

Astrid: We have quite a few classes and demos. We are happy to have all of these. Cathain, do we have space for more?

Cathain: We have essentially unlimited space for Demos. We could add additional classes outside if the class is suitable, but the indoor spaces are mostly full.

Astrid: We would also love to have displays, so bring your stuff to show off.

We also need general volunteers for gate, parking, setup, etc. Please contact us.

Peter: Archers will be demonstrating and loaner equipment available. There will be a “golden bow” award for newcomers who do exceptional at the range. I am asking if we can present them in court.

Frithuric: Can do.

Setup will start at 8am, offsite by 8pm.

Carolingia Rapier Champs: Eon Broc: If anyone wants to help definitely let me know.

Eleanor: We do need additional help with gate. A link was just posted in multiple locations.

Eon: If anyone has questions for me about the event, please reach out. I am going to wait until after Otters to make arrangements with their excellencies.

General announcements:

Their excellencies have been approved for a second term.

This will be forwarded to the seneschal for and their majesties.

Low company is this coming Friday. It is up on the calendar and facebook. Dinner is 6:30, gaming after that. We will be discussing Baron Salamalas book of period games.

Justin: Newcomers night is a maybe this month, as it’s the end of memorial day weekend. I will send out a survey gauging interest.

Pandaulf: Thrown weapons has started for the season, Saturdays 10-1 at Symon and Dierdres.

Pandaulf: On memorial day, I will be hosting our annual grill party, 2-7:30, bring something to grill or something with grill food.

Frithuric: We currently have no events on the calendar past Rapier Champs. Consider this a nudge to add more events.

Gavin: Storytellers and Bards gathering Next Friday night (the night before Otters). The next one wil be two months from that will be Thursday night of GNEW.

Valerian: The first Sunday fighter practice happened this year in a new location in Wilmington. They will be a little sporadic this summer, but the site has better parking and bathrooms so it would be convenient for additional events to happen. Come on out.

Peter: Archery continues as it does all year. We’re preparing for a long day at Otters with loaner equipment available.

Aaradyn: I will see many of you at BBM Invest this weekend. Ysanne will be getting her Pelican.
I will not be at Otters Welcome, but I hope lots of you are.

See you in June.
