Great Council Minutes October AS LIX (2024) 7:30 PM

Coronets Nobildonna Fiore Leonetta Bardi and Lord Frithuric Ulman:

Beautiful things happened this weekend. Congratulations to Meesteress Arlyana von Wyck, and it was a lovely coronation. The Masonic hall was gorgeous and we should look into them.

Let us know about people who deserves awards.

Frithuric: We did receive the proper cheese tithe for the first time in forever.

Officers:

Seneschal Lady Aaradyn Gyoot

Welcome to October, my 3rd to last council as Seneschal.

Sugawara has put her name in to be the next seneschal, and is the only candidate. The vote will be for November Council. Vote for each seat you hold.

December Council will be my last council, assuming the warranting goes well.

There will be office hours later in Oct. Details to come.

Sugawara:
Good evening everyone. As you have been told, I am willing to step up as seneschal. I do need to have a drop dead deputy as a sop to anxiety. I am working on getting useful information (contact, response times, etc). I need people to be patient as acclimate to the role. Please take care of yourselves and don’t burn out by over-volunteering.

Chancellor of the Exchequer Kara Irini bin Todori

I am supposed to step down in February. I’ve had one response so far, but I want to wait a little longer to see if there is more interest. It is a role that requires a deputy, so additional interest is needed. If you know anyone who is interested, please mention it to them.

Chancellor Minor Cristoff Gockerhan von Loch and Stephanie Leatherfoot L’Huissier

Chatelaine Master Justin de Coeur

I am nearing the end of my term, and I need deputies. I’ve gotten one volunteer so far, but would like more, especially so there were multiple people supporting the role. Please point anyone who’s interested in my direction.

My term has come to an end. I have been putting out requests for a new MOAS, and I got responses from Isabelle de Okes, who is a local bookbinding laurel. I also got a response from another candidate who decided to work with Justin instead.

Isabelle: I am honored to accept this position, and am looking forward to working with everyone, and helping everyone find their passion for the arts and sciences.

Cathain: Isabelle is taking over as of now.

Steward Lady Gudrun Thorvaldsdottir

There are two things I would like to address. I had brought up at the last meeting, the idea of picking up a pop-up and a couple of tables. I priced out some options. My initial suggestion was a steel frame pop-up from Ocean State Job lot. $199.99, plus a $199 crazy deal card, which we could use to get tables and canopy weights, with $40 left over from the card. The tables have a center overlap for sturdy construction. OSJL is out of the canopy weights, and we don’t have any brand information.
Valerian suggested alternate brands: Impact commercial grade canopy, $299.99, $172.89 on Amazon. Known brand, but $440-$480 for the same equipment.
S2 model from ABC Canopy, $269.96, Amazon $249.95. $410-450 for the full equipment.

Dicks has the Canopy weights in stock for $29.
Costco tables $59.99

I have this in a document that I can forward to anyone who wants to review it.
Irini:
The OSJL canopy has good reviews.

Aardyn: The document is linked in chat. It has been forwarded to the financial committee.

Frithuric: We’re coming up on Amazon day, Black Friday deals, etc, so we could wait, especially as we’re coming out of pop-up season.

Gudrun: A question in chat: We are talking about getting rid of some stuff in storage, so there will be room in storage.

Arylana: There’s a number of different types of popups. The newer ones are easier to deploy, so do we know anything about that.

Gudrun: I didn’t look for that on the website. I can copy the URL and post them.
Aaradyn:
Send me any comments for the financial committee.

Gudrun:
Proposed Decomission List Quantities to be decided Plastic Pitchers ~70 Small woven wooden bowls 88 Medium woven wooden bowls 101 Large woven wooden bowls 102 round metal platters 12” 20 Oval metal platters 11”x16” 33 Stainless oval platters 13.5”x20” 20 Ceramic Ramekins 3.5″diameter x 2″deep Quantity: 103 2″diameter x 1.3″deep Quantity: 23 box of 23 1cup glass cruets
Pandaulf:
Based on the time you’ve been steward, do you have recommendations?
G: I would say ~20 pitchers, none of the Ramekins, few of the platters.

Eadgyth: We need to talk to people who have done dayboards.

Justin: We haven’t had a lot of ambitious feasts in recent years. How much do we hold against future need. We need to think about utility versus inconvenience.

Aaradyn: I’m not sure the cooks guild is in a position to take on a committee like this.

Eleanor: I just say in interest of keeping access, if we donate to local groups, we could always borrow back.

Valerian says he is willing to message Gudrun, and is also a good resource for potential recovery at need.

Aaradyn: Gudrun, please make up a recommendation list, including feedback from people who have run dayboards. (Individuals listed, names not caught).

Meeting this Wednesday.

Events:

Falling Leaves: Rossva: Falling leaves was a wonderful event. Thank you to everyone who helped organize it on short notice. I got a lot of positive feedback, everyone liked the break for the joust. Thank you for supporting me on running my first event. Next time I will try to get more information about activities out to the populace ahead of time. We got clear of the site clean about an hour early.
Irini: 255 people total. 43 minors. 53 non-members. 4K in revenue. $1000 for site fee, a few hundred for supplies, NMS to corp.

$2259.13 profit.

Upcoming:

Barony vs. Backlog: Sugawara The event has been made garb optional so people don’t have to worry about ink or paint. I am grateful to those who have volunteered to assist with gate. We have 3 classes so far, but I have put out a second round of calls for teachers, but likely one classroom will be set aside for children’s activities. The schedule will be locked down in a couple of weeks.

I have the tokens. I will send out an email for volunteers to come put them on strings.

I want to bribe people to show up to the event. I have theater tickets and Sparky Tote Bags. Is a door prize legal?
Arylana: As long as it’s not raising money, it should be fine.

Sug: The site is dry.
Aradyn: Class emails go to?

Sug: Me. There will be a potluck. I believe I have secured use of the stove, in which case there will be a giant pot of vegetable soup. I will contact the Steward shortly. We have the site 8-8, so an hour for setup and breakdown. Anyone who wants to help would be appreciated.

Justin: Sug asked if Symon and I could provide games for side entertainment. Since it’s the day after Low Company would have been anyway, we’re going to move LC to the event.

Eowynn: The basis of this event is the theory that various artisans will work on backlog scrolls. What’s our source?

Sug: The backlog deputy will be present at the event, although you can ask them about scrolls in advance.
Irini: Do you need the final check for site fee prior to the event or at the event?
Sug: Not certain, I will check and get back to you.
Arlyana: Just checking, the door prizes are donations, right?
Sug: Yes.
