Great Council Minutes November AS LVIII (2023) 7:30 PM

Coronets Nobildonna Fiore Leonetta Bardi and Lord Frithuric Ulman:

Frithuric: Crown tournament was excellent last week. I think I saw almost everyone from the council meeting. When Valerian and I talked about running crown, it was described as a fairly straightforward event. But it doesn’t run itself, especially with all the extras such as A&S display. The baronial populace did an excellent job running.

Eeowyn: The new Princes are Tindal and G. Emerson True (Baron of Concordia for over 10 years).

Frithuric: There were 11 Couples with at least one Carolingian. The tournament was excellent.
Alberich is our new heavy champion.
Simon and Arlyana were invested as Kingdom Officers.

Pandaulf will be stepping up as the society deputy for thrown weapons, as well as remaining the Baronial Marshal.

Peter Gianacola: I am interested in implementing Iron Key in the Barony, what should I do?
Aaradyn: Get in touch with Valerian.

The foresters guild of Carolingia, having met all the requirements of the Great Charter(s) of Carolingia, are petitioning council to become a chartered guild.

Ella will be serving as the first Honorable Keeper of the Forest (Guild Head).

Peter G: What is the difference now that they are chartered?

Aaradyn: It gives the guild a $50 stipend, and a voting seat on council. They can petition the barony for an increase if there is an additional expense. Mostly it just makes them a more official group.

Ella: And can be listed on the website and calendar.
Approved by council. They are now a chartered guild.


Aaradyn: Please remember to try to keep events sites as clean as we found them.

Dance Lady Aelia Fortunata

Dance continues in the barony. Next practice will be this Thursday the 9th. The practice after will be the 16th. No practice the 23rd. The last practice for the fall will be the 30th. I will post spring dates as soon as I have them.
We have a tentative date and place for Known Worlde Dance, July 4
th in Indiana (site of SCA 50 year). We’d love to see some Carolingians out there.

Waytes continue to meet on Monday evenings most weeks, and play for Dance practice some thursdays, including next week.

Needleworkers Lord Donato Favro
The next needleworkers guild meeting will be next Tuesday, the 14th from 7-10. The first hour will be hybrid and include a business meeting. The remainder will be in person only at my place. Meetings will be on the 2nd Tuesday of the month going forward.

Events:

Peregrine: Proposing Winter Nights: Brings together performers of all sorts. Participants get to challenge and support each other. The event will also include a competition for the court performer of Carolingia. This is being scheduled after Arisia but before EK Bardic. In order to avoid Birka, it may be either at Camelot Common house or Veasey Memorial park. Since Birka’s date is dependent on the Democratic National Convention, this will not be pinned down until that is.

Planned financials:
Veasey park is expected to be $550. 40 Attendees to break even. Expected site fee is $20, including $16 for the site and $4 for dayboard.

Q: Is dayboard a separate cost?

A: It’s included the $20, but we may separate it out as a separate cost. This is still to be settled.

I would like to ask Carolingia for their help around gate, setup and cleanup, and I would really like an assistant event steward to help get things done, especially day of.

Competition is done in rounds. The first round is usually longer, but is time limited. Dayboard happens during breaks. The goal is to have all the rounds done at 6pm, and have announcements or courts done by 6:30.

Info: Current pricing for us for Veasey is $650.

Aaradyn: I think we can count on more than 40 individuals with a Baronial champion ship.

Astrid and Etain: Otters Welcome:
We are hoping to hold Otters next may 4th or 11th. Planned site is Veasey Memorial. All activities welcome. Childrens activities welcome. We would like to have Novice tournaments. We will continue the ambassador program, Theo of Carolingia. Ysabel will be handling pre-reg. Solveig will be handling merchant coordinator. Rengeir: Parking. Chatelaine: Justin. Anticipated attendence is ~125-150 people. $20 pricing, $15 members. $5 for children. (Arlyana: There is no nonmember surcharge for children if they are discounted)

We will try to make sure it is allowed.
Symon: Will there be a dayboard.

The plan is a Carolingian picnic style.

Symon: I was actually thinking that Veasey has a full kitchen, and that a dayboard would be good for newcomers.

We will consider it.

Cathain: Would it be possible for youth to be free? We want to encourage families to come.

Expenses are expected to be $1060 all included. Site tokens that did not get used for 2022 will be used.
Income is expected to be $1700, so some additional expenses can be considered.
Tasha: Make sure the flier says SCA.
Frithuric: Definitely consider using the expected profit to reduce costs or increase services. Otters, in particular, as a newcomers event, is not intended to make a profit.
Part of the reason for the profit is various things that have reduced costs.


Eadgyth aet Staeningum I think that working out dayboard costs and adjusting the budget for not charging for children means the proposal should be reviewed again next month for final decision.


Ysabel: Could the Barony cover the non-member surcharge?
Frithuric: Unfortunately SCA rules don’t allow this.

BBM investiture is also planning on one of these two weekends, but they are comfortable using the alternate.

Date will be finalized.

Crown Torunament:
After splitting with the kingdom, the Barony is getting about $1500. The site was happy with us.

General announcements:

Municpal elections are tomorrow. If you haven’t already voted, you should do that.

No online Newcomers night this month, as I will be out of town. I will be pinch hitting dance practice on the 16th. So that dance practice will be especially welcoming for Newcomers.

There will be a Rennaisance Ball at Arisia. It’s not an official SCA thing, but it is very SCA like. Intercon is coming up in March. Signups for games are starting right now.

Arlyana: We succesfully drove off the spiders and ticks for another year. Archery practice continues on Sundays and by appointment with Peter.

Padraig: As of next week, we do have a captain of the company of bowman. We will be running interesting shoots monthly.
